SIFMA is Hiring an Office Administrator Near Washington, DC

SIFMA is seeking a highly organized Office Administrator to join our team. The Office Administrator will be the first point of contact for visitors, members, and employees, always ensuring a professional and welcoming atmosphere. The Office Administrator is responsible for front desk duties in addition to carrying out general administrative tasks. This position reports to the Managing Director, Membership and Board Liaison.

Responsibilities:

  • Greet guests and direct guests to the appropriate person or department.
  • Answer phone calls, take messages, and redirect calls as necessary.
  • Manage schedule for conference rooms via our online booking tool and order catering as requested.
  • Monitor, order, and organize supplies for office and break room.
  • Manage the cleanliness and order of the break room: stock the supplies of snacks and beverages, operate the dishwasher to ensure clean dishes are readily available for use, clean the refrigerator on a regular basis.
  • Manage incoming and outgoing correspondence/mail and packages.
  • Process invoices and perform reconciliations.
  • Assist with special events in and outside the office.
  • Assist with ad hoc projects both within the Office of the CEO and other departments.
  • Provide coverage for our team of administrative professionals when they are out of the office.
  • Assist with new employee orientation: set up a new employee’s desk and stock it with essential supplies, provide a tour of the office as well as the amenity space in the building, review parking options, review office services procedures and conference room booking tool.
  • Liaison with building property management and building engineers for HVAC and other necessary repairs or building related issues (including building cleaning personnel).
  • Oversee the safety of DC employees by arranging AED/CPR training, serve as a Fire Warden, and update and maintain the Safety Procedures Guide.
  • Oversee office construction projects as necessary.
  • Update procedures/guides and other operational documents to ensure consistency and information flow.
  • See opportunities for improvement/operational efficiencies.

Qualifications:

  • Bachelor’s Degree and a strong interest in administrative support or hospitality.
  • Proactive; ability to anticipate needs before being asked.
  • Proven experience as an office administrator, receptionist, or similar role.
  • Notary (or willingness to become a notary)
  • Effective and clear verbal and written communication.
  • Friendly, service-oriented personality.
  • Ability to manage confidential/sensitive information in a tactful and diplomatic manner.
  • Strong organizational skills, accuracy, and attention to detail.
  • Ability to manage multiple tasks and projects at the same time.
  • Microsoft Office Suite (Excel, Word, PowerPoint, and Outlook).
